CleanEstimate Pro (“we,” “us,” “our”) operates the website at cleanestimate.pro and the CleanEstimate Pro application (collectively, the “Service”). This Privacy Policy describes how we collect, use, store, and share your information when you use our Service.
By using CleanEstimate Pro, you agree to the collection and use of information as described in this policy.
Information We Collect
Account Information. When you sign up, we collect your name, email address, phone number, business name, and billing address.
Customer Data. When you use the Service to manage your business, you may store client names, addresses, phone numbers, email addresses, job details, estimates, invoices, payment records, and communication history. You own this data. We process it on your behalf to provide the Service.
Payment Information. We use Stripe to process payments. We do not store your full credit card number. Stripe handles payment data in accordance with PCI-DSS standards.
Usage Data. We collect information about how you interact with the Service, including pages visited, features used, device type, browser, IP address, and access times.
Communications Data. If you use our messaging features (SMS, email), we store message content, sender and recipient information, timestamps, and delivery status to provide you with a communication history and enable two-way messaging with your customers.
Mobile Phone Numbers. We collect mobile phone numbers from our users during account registration and from end users (your customers) when you or your customers provide them through the Service, including through estimate requests, contact forms, appointment scheduling, and direct communication.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Service
- Process transactions and send related information (receipts, invoices, confirmations)
- Send transactional SMS and email messages on your behalf to your customers (estimate notifications, appointment reminders, payment confirmations, job status updates, follow-up messages)
- Provide customer support
- Monitor usage patterns to improve the Service
- Detect, prevent, and address fraud and technical issues
- Comply with legal obligations
SMS/Text Messaging
CleanEstimate Pro uses Twilio to send and receive SMS/text messages. This section describes our practices specific to text messaging.
Types of Messages. Messages sent through the Service include: estimate and proposal notifications, appointment confirmations and reminders, payment confirmations and invoice notifications, job scheduling updates, ETA notifications, follow-up messages, review requests, and two-way conversational messages between you and your customers.
Message Frequency. Message frequency varies based on your use of the Service and your interactions with your customers. There is no fixed number of messages per month.
Consent. Text messages are only sent to individuals who have provided their phone number through a business interaction with a CleanEstimate Pro user (requesting an estimate, scheduling a service, engaging in a customer conversation, or otherwise providing consent to receive messages). By providing a phone number and opting in to receive text messages, recipients consent to receive SMS communications related to the services described above.
How Consent Is Obtained
Online Estimate Request. When a customer submits an estimate request through a CleanEstimate Pro-powered form, they enter their phone number alongside disclosure language stating: “By providing your phone number, you consent to receive SMS messages from [Business Name] regarding your service estimate, scheduling, and invoicing. Message frequency varies. Message and data rates may apply. Reply STOP to opt out. Reply HELP for help.”
Business-Initiated Contact. When a business operator adds a customer's phone number obtained through a direct interaction (phone call, in-person meeting, or email), the first outbound SMS sent to that number includes: “[Business Name]: You are receiving this message because you provided your phone number during a service inquiry. Message and data rates may apply. Reply STOP to opt out, HELP for help.”
Verbal or In-Person Consent. During on-site service consultations, business operators inform customers that text messages will be used for appointment confirmations, crew arrival notifications, and invoicing. Verbal consent is obtained before the number is added to the system. The first outbound message to that number includes opt-out and help instructions.
Opt-Out. Recipients may opt out of receiving text messages at any time by replying STOP to any message. After opting out, no further messages will be sent to that number unless the recipient re-initiates contact. For help, recipients can reply HELP to any message.
Message and Data Rates. Standard message and data rates may apply depending on the recipient's mobile carrier and plan.
No Sharing of Mobile Data. We do not sell, rent, lease, or share mobile phone numbers, opt-in data, or any mobile information collected through SMS opt-in with any third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes at any time. This applies to all mobile data collected through opt-in, messaging interactions, and any other mobile-related data obtained through the Service.
How We Share Your Information
We do not sell your personal information. We share information only in the following circumstances:
Service Providers. We use third-party services to operate the platform. These providers only access your data as needed to perform their functions and are contractually obligated to protect it:
- Stripe — payment processing
- Twilio — SMS and voice communications
- Resend — transactional email delivery
- Supabase — database hosting and authentication
- Vercel — application hosting
At Your Direction. When you send an estimate, invoice, or message to your customer through the Service, we deliver that content to the recipient on your behalf.
Legal Requirements. We may disclose information if required by law, regulation, legal process, or governmental request.
Business Transfers. If CleanEstimate Pro is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
We do not share, sell, or disclose personal information — including mobile phone numbers and SMS opt-in data — to third parties or affiliates for their marketing or promotional purposes.
Data Storage and Security
Your data is stored on servers in the United States using Supabase (hosted on AWS). We implement industry-standard security measures including encryption in transit (TLS), row-level security policies, and authenticated API access. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
Data Retention
We retain your account and customer data for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete your data within 90 days, except as required by law or as needed to resolve disputes.
Communication logs (SMS and email) are retained for the duration of your active subscription and are deleted within 90 days of account cancellation.
Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Export your data in a machine-readable format
- Opt out of marketing communications

Cookies
We use essential cookies to maintain your session and preferences. We use analytics cookies (Google Analytics) to understand how the Service is used. You can disable cookies in your browser settings, but some features of the Service may not function properly.
Children's Privacy
CleanEstimate Pro is not directed to individuals under 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will delete it.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the “Last Updated” date. Your continued use of the Service after changes constitutes acceptance of the revised policy.
